Settings and reference data

This is what you fill in once at the start and then hardly ever touch. Spend half an hour on it and the daily work goes faster.

Reference data

Eleven sets of reference data, all built the same way: a list, a form, a search.

  • Devices and brands — what you repair;
  • Repair categories and the warranty repair price list — what the brand pays for the work;
  • Repair types — warranty, paid, rework;
  • Statuses — the stages of a repair, each with its own colour;
  • Payment methods — cash, card, invoice;
  • Customer tags — regular, partner, debtor;
  • Partners, towns, pay rates.

An entry that jobs refer to cannot be deleted — the software tells you how many jobs use it. Instead of deleting, clear the "in use" flag: old jobs keep the value, new ones are no longer offered it.

Branches

Address, phone and opening hours. These end up on the printed intake form, so fill them in the way the customer should see them.

Staff

On an employee card: sign-in (email and password), role, branch, what they work as — technician, manager or both — and their rate for the reports.

Roles and permissions

Permissions are tick boxes per section of the software. The starting roles are administrator, manager, technician and observer; you can add your own.

Two boxes deserve a separate look:

  • see all branches — without it an employee works only with their own;
  • work on other people's repairs — without it a technician only runs the jobs they are assigned to.

A role with full access can do everything, including whatever appears in future versions. The software will not let you restrict the last such role — otherwise nobody could get in.

Language

There are two languages and they are not connected:

  • the interface language — how an employee sees the software; everyone picks their own on their account;
  • the document language — how the customer receives the intake form, the certificate and the emails.

Ukrainian, Russian, English and German are available. The starting reference data is installed in the language your copy was set up in; after that you rename everything as you like — it is your data now, not our interface. We never translate your company name: that is your sign above the door.

Email

So that letters to customers go out from your own address, enter your mailbox details in the settings. Next to them is a send a test email button — press it straight away; it is quicker than finding out later why a customer received nothing.

The Emails section is a log: what went out and to whom, whether it was opened, and a button to send it again.

Maintenance notice

A notice every employee sees on every page: "stocktaking today from 6 pm". Switched on and off with a single tick.

Activity log

Who did what in the software. Together with the job change history it settles most questions of the "who deleted this" kind.
